Hospitality Peer Alliance ("HPA," "we," "us," "our") respects your privacy. This Privacy Notice explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to the website hpalliance.org (the "Site"), the HPA membership platform, and any communications we send.

1. WHO WE ARE
HPA is a private business membership organization for hospitality operators — bars, restaurants, cafes, and hotels — headquartered in Chula Vista, California.

2. INFORMATION WE COLLECT
(a) Information you provide directly: contact information (name, business name, email, phone, mailing address); membership account details (venue name, venue address, role/title, number of locations); payment information (collected and processed by our payment processor Stripe; we do not store card or bank account numbers on our own servers); content you submit (messages sent via contact forms, member forum posts, benchmark submissions, event RSVPs, survey responses).
(b) Information collected automatically: device and browser data (IP address, browser type, operating system, device identifiers); usage data (pages viewed, links clicked, referring URL, timestamps); cookies and similar technologies (see Section 6 below).
(c) Information from third parties: payment status and subscription details from Stripe; delivery and engagement data from our email platform; public professional information you have made available (e.g., LinkedIn profile) when we consider you for outreach or feature interviews.
3. HOW WE USE YOUR INFORMATION
We use your information to create and manage your HPA membership account; process payments and issue invoices and receipts; deliver member benefits; respond to your inquiries and provide support; send transactional communications; send member-only content (which you may opt out of at any time); prevent fraud, abuse, and unauthorized access; improve the Site, our content, and our services; and comply with legal obligations.
We do not use your information for advertising, we do not sell your data, and we do not share it for cross-context behavioral advertising.
4. LEGAL BASES (FOR EEA/UK VISITORS)
If you are located in the European Economic Area or the United Kingdom, we process your personal information based on: (a) performance of the contract with you (membership); (b) our legitimate interests in operating and improving HPA; (c) your consent, where required; and (d) compliance with legal obligations.
5. WHO WE SHARE INFORMATION WITH
We share information only with the vendors and parties needed to run HPA: Stripe (payment processing); Google Workspace (email hosting, document collaboration); Squarespace (website hosting, contact form handling, analytics); email platform (sending Industry Digest and Events & Voices to members); community platform such as Slack once launched (members-only private forum); accounting/bookkeeping software (financial records for tax and reporting); professional advisors such as our CPA, attorneys, or auditors (legal, tax, or compliance advice on a confidential basis); government or regulators (only when required by law, court order, or subpoena).
We do not share your information with vendors listed in our Vendor & Service Directory. Contacting a provider from the directory is entirely at your initiative; once you contact them, that provider becomes a separate data controller under its own privacy policy.
6. COOKIES AND SIMILAR TECHNOLOGIES
The Site uses cookies for essential functionality, to remember your preferences, and to measure aggregated site traffic: strictly necessary cookies (required for the Site to function); analytics cookies (Squarespace built-in analytics and, if enabled, Google Analytics 4); preference cookies (remembers your language, region, or cookie choices).
We do not use third-party advertising or retargeting cookies.
7. DATA RETENTION
We retain your information for as long as your membership is active, as required to comply with legal, tax, or accounting obligations (typically seven years for financial records under U.S. tax law), or as necessary to resolve disputes or enforce agreements. When retention is no longer required, we delete or anonymize the information.
8. DATA SECURITY
We use commercially reasonable technical, administrative, and physical safeguards to protect your information — including HTTPS on the Site, encryption at rest through our vendors, two-factor authentication on administrative accounts, and access limited to personnel who need it. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
9. YOUR CHOICES
You may at any time: access, update, or correct your account information by emailing members@hpalliance.org; cancel your membership with 30 days' notice; opt out of member content emails by clicking "unsubscribe" in any such email (transactional emails cannot be opted out of while your membership is active); request deletion of your personal information, subject to legal and accounting retention requirements.
10. YOUR CALIFORNIA PRIVACY RIGHTS
Under the California Consumer Privacy Act, as amended by the CPRA ("CCPA"), California residents have the right to know what categories of personal information we have collected; right to access the specific pieces of personal information we hold about you; right to delete personal information; right to correct inaccurate personal information; right to opt out of the sale or sharing of personal information (HPA does not sell or share personal information for cross-context behavioral advertising); right to limit use of sensitive personal information; right to non-discrimination for exercising any of these rights.
To exercise any of these rights, email members@hpalliance.org with the subject line "California Privacy Request." We will respond within 45 days as required by law.
11. DO NOT TRACK
Some browsers offer a "Do Not Track" signal. Because there is no accepted industry standard for how to respond, HPA does not currently alter its behavior based on the DNT signal. We do not engage in cross-site tracking regardless.
12. CHILDREN'S PRIVACY
The Site and HPA membership are directed to adult business operators. We do not knowingly collect personal information from anyone under 16. If you believe a child has submitted information, please contact us and we will delete it.
13. INTERNATIONAL TRANSFERS
HPA operates from the United States. Our vendors (Stripe, Google, Squarespace) may process data in the United States and other jurisdictions. If you are located outside the United States, by using the Site or membership you consent to the transfer and processing of your information in the United States.
14. CHANGES TO THIS NOTICE
We may update this Privacy Notice from time to time. The "Last Updated" date at the top will reflect the most recent change. Material changes will be highlighted on the Site and, for active members, sent by email.
